- Whilst we know the majority of our students are upstanding members of the Surrey community, throughout each academic year, whether it is through the Students' Union or the University, there are multiple cases of serious misconduct which either take place within or surrounding the sports clubs.
- We know there are also incidents taking place which are either not reported, or students may not be sure if it's something to report.
- Whether it is on the pitch, nights out or whilst on Tour, we all have a responsibility to look out for each other and create a positive, inclusive and safe environment for all our members.
- To support our community with this, we are introducing mandatory training to ensure we reach out directly to up to 3,000 students to support each other, understand what happens when misconduct does occur and how you can improve your club culture in a positive way.
- Ensure you have purchased your Team Surrey and Club(s) Membership and ticked the disclaimer confirming you will need to book onto training - you cannot purchase your membership until you do this!
- IMPORTANT: You have 30 days from the date of purchasing your Team Surrey Membership to book onto a training session. If you do not attend or inform us with a valid reason why you cannot attend, your membership will be cancelled, with no refund. This also includes your club(s) memberships.
- Book onto an upcoming Club Culture Training event either by scrolling down below or via our What's On page. We are currently offering 12 different opportunities for you to book on before the end of October. You have 30 days from the date of purchasing your Team Surrey membership to book onto a session.
- Attend the session! Make sure to scan your ticket on arrival to confirm your attendance.
- You will receive confirmation of completing your training and you're then done!
- The training will be held in-person at various dates and times on Stag Hill and Manor Park campuses from Wednesday 30th September, with the aim to train a good majority of club members for when BUCS begins and avoid any potential disruption.
- You can book onto any one that works for you. Please invite other members of your club, whether you all come together or in groups depending on availability. We hope to have bigger spaces early on and then later sessions will be held in rooms such as LTD.
- Sessions will be approximately 90 minutes long, delivered by a member of staff from the Students' Union and potentially others from the Support Zone and/or Team Surrey.
- The aim is for the training to be interactive, thought provoking and will provide some examples that will help to give you further context to explain why we're doing this e.g. In partnership with production company Real Scenes, we've co-created a dramatisation video that brings club culture to life, highlighting an honest reflection of the light and dark of university sport.
- You will need to make sure you bring your event QR code to the session and a member of staff will scan it to confirm your attendance.
FAQs
The 30 day window will not start until 1st October, so if you purchase your memberships before then, you actually get a little bit longer to organise attending the training.
Training is available to book now, so please plan ahead and book on!
We expect all students who have purchased a membership to be able to attend 1 of the various opportunities we've offered. Please get in touch if you believe you have a valid reason to not attend.
Try to cancel your space first if you can as it will open it up for another student to book on to.
If you miss the session for whatever reason, that is ok. Just make sure to book onto another one asap so you don't go over the 30-day window. If there are none available for you to attend then please get in touch with us.
Where possible we would like members to attend the training we have scheduled already to save time and avoid too many ad-hoc sessions.
However, if you would like to book one before Freshers or 30th September when it goes live on the website (we're aware that some of the summer or performance clubs may be interested), or for another valid reason, then please get in touch and we can look to arrange that for you.
You should see a disclaimer tick box when you purchase your membership. This is your way of officially agreeing to attending the Club Culture training.
We will also send you regular email reminders either for your session or to remind you to book a session, so we hope you will not forget!
Despite this, if you do forget and do not attend the training, Team Surrey will cancel your membership with no refund after 30 days. The Activity Zone will also cancel your club membership(s).
You can find the training either via What's On? or events should be at the bottom of this page. Book on as soon as you can!
We have aimed for sessions to take place on Wednesday afternoons before the BUCS fixtures generally start and a few evenings to try and accommodate your schedules.
Please note that we have scheduled 2 sessions alongside standings on 6th and 8th October too.
Depending on how many members we train, more will be scheduled in for November which you can book onto if needed.
All we ask of Signatories at this time is to remind your members regularly to attend the training, otherwise they risk losing their Team Surrey and Club(s) memberships. You are welcome to administer it on your side but we don't want to add extra burden to your tasks, so we will track it on our side through the website. Please be mindful if you know someone isn't attending and slipping through the system, it isn't fair to those who do attend!
Our system will send automatic reminders to students once they've purchased their membership to make sure they attend training.
If a student does not attend or at least book onto a session within those 30 days, Team Surrey will be notified who will manage cancelling the Team Surrey membership with the student directly.
The Activity/Support Zone will also contact Signatories and the student directly to confirm their club(s) membership will be cancelled, alongside their Team Surrey one, so that you are aware.
Each case will be reviewed individually to determine whether the student can be given another opportunity to complete the training or whether the membership(s) should remain cancelled.
This training is for all members.
The only ones that do not count are coaching/instructor staff and community members who are not current students, although they are welcome to join with your current members.
If you have a member join in Semester 2 for example, that is no problem. We will aim to schedule a few sessions for late members and for any ad hoc requests. Please get in touch if that is relevant for you or a member of your club.
We always welcome community members (e.g. alumni or anyone who is not a current student) and coach/instructor staff to attend these trainings. However, there is currently no requirement for these individuals to complete the training, as the training requirements are primarily intended to apply to current enrolled students.
