What information do we collect from you?

USSU’s Support Zone holds and processes personal data about:

  • Student appeals and complaints – name and contact, what they chose to tell us, the substance of the complaint;
  • Student disciplinary details – the nature/details of the relevant issue for which the disciplinary is occurring.

How is data is collected:

  • Student appeals and complaints – collected directly from student from emails and/or meetings;
  • Student disciplinary details – collected directly from emails and/or meetings.

Why do we collect this information?

  • Student appeals and complaints – to help facilitate the support and assistance we can offer you;
  • Student disciplinary details – to help facilitate the support and assistance we can offer you and fulfil our disciplinary processes and procedures.

We take our obligations for data handling very seriously and it is therefore important for you to know the lawful basis for us processing your information:

  • Student appeals and complaints – legitimate interests to assist and support you in your appeal/complaint process. These legitimate interests are determined through an assessment made by weighing our requirements against the impact of the processing on you. Our legitimate interests will never override your right to privacy and the freedoms that require the protection of your personal data.   • Student disciplinary details – We process data because you give us your consent, specifically to assist/support in any disciplinary action.

What do we do with your information?

  • Student appeals and complaints – used within USSU to provide you with support;
  • Student disciplinary details – used to provide you with necessary support.

USSU processes personal data and special category data in accordance with data protection legislation and its own Data Protection Policy. 

How long do we keep your information?

  • Student appeals and complaints – end of relationship with student;
  • Student disciplinary details – 13 months.

Who do we share your information with?

  • Student appeals and complaints – only shared with relevant University of Surrey departments with your consent (more information provided in face-to-face meetings);
  • Student disciplinary details – as above.
